Organization of Studies

About Academic Administration

The Student Services Office consists of the Admissions Office and the Registrar’s Office and is located in room H 022 of the main building. The Student Services Office is open year-round , including during semester breaks. If the service office happens to be closed, staff members can still be reached by phone and email.

Student Services is responsible for questions regarding academic administration:

  • Application
  • Enrollment
  • Re-registration
  • Leave of absence
  • De-registration
  • Exams
  • Credit Transfer

If you have any questions about the course schedule or individual courses, please feel free to contact the relevant faculty office.

FAQ: De-registration from the University

Step 1: Fill out the form

Please fill out the release form completely. If you are a graduate, check the box on the form to indicate whether you would like your graduation documents mailed to you or if you will pick them up in person. If you are unsure of your future address, please provide your email address. We will then notify you when the documents are ready. They can still be mailed to you at that time.

Step 2: Obtain the necessary signatures

Obtain the signatures from the University Library and the Technical Services Office either by email or in person.

  • University Library (proof that you do not have any books on loan from there and that there are no outstanding fines)
    Location: Fruchtkasten Building
    Email address: leihstelle@hs-weingarten.de
  • Technical Services (proof that you do not have a key to the university premises)
    Location: Main Building, Room H042
    Email address: melanie.arsene@rwu.de

Step 3: Submit the application via myCampus and upload the form

Via myCampus , go to the “Applications” tab to submit your application for de-registration and upload the completed discharge form there.

If you have any further questions about de-registration, please contact the Admissions Office.

You can choose your de-registration date as follows:

  • De-registration at the end of the semester:
You will remain enrolled until the end of the semester (summer: August 31 / winter: February 28) and will be covered by student health insurance until then (recommended)
  • De-registration upon completion of your last academic requirement:
You will be de-registered on the date you complete your last academic requirement and will no longer be covered by student health insurance as of that date.
  • De-registration effective as of the date of application:
You will be de-registered from the university on the date of application and will no longer be covered by student health insurance from that point on.

Important: Only graduates may request de-registration retroactive to a past date. If you de-register from your program or transfer to another institution, you may request de-registration no earlier than the date you submit your application.

If you de-register from the university within one month of the start of classes, you may apply for a refund of the fees you have paid. Please note the deadline for both applications: The application for deregistration and the application for a refund must be submitted within one month of the start of classes via myCampus.

If you have any further questions regarding refunds, please contact the Admissions Office.

No, you must actively submit a request to de-register from the university. You can do this online directly through myCampus. For more information, including details on the required documentation, please visit your online Student Services portal.

There are many reasons why a student might de-register from the university. In the best-case scenario, you have fulfilled all required coursework and successfully completed your degree program. However, failure to re-enroll before the start of a new semester, loss of exam eligibility, missing important documents (e.g., proof of health insurance), exceeding the maximum number of semesters allowed, or transferring to another institution can also be reasons for de-registration. In each of these cases, the result is de-registration from the university.

FAQ: Registration and Fees

For detailed information on registration and fees, visit " Study costs."

To continue your studies, you must re-enroll for each new semester during the re-enrollment period before the semester begins. This ensures that you maintain your student status and remain enrolled for the next semester. Each semester, you will receive an email notification regarding the re-enrollment period sent to your university email address. You can also find the re-enrollment period at Dates.

Step 1: Bank Transfer

At the start of the re-registration period each semester, you will receive an email notification sent to your university email address. You can find the invoice for re-registration in myCampus. Please transfer the semester fee and any applicable tuition fees, making sure to include the correct payment reference. Please note that the deadlines for paying tuition fees may differ from the re-enrollment deadline. You can find the exact details and deadlines in the fee notice.

Step 2: Verify the Transfer

When making the transfer, please double-check that the correct amount and payment reference have been entered. Afterward, please verify that the payment has been debited from your account.

Step 3: Download the Certificate of Enrollment

Since you are transferring the amount to the Baden-Württemberg State Treasury, it usually takes 3–4 business days for the payment to be posted to our university’s accounts. Please log back into myCampus approximately 7 days after making your transfer and check whether your re-enrollment has been processed.

Please transfer the semester fee to the following account at the Landesoberkasse, specifying the correct payment reference:

Landesoberkasse Baden-Württemberg
Baden-Württembergische Bank (BW-Bank)
DE02 6005 0101 7495 5301 02
SOLADEST600

Payment reference: 8 679 130 002 817, Name, Student ID number

Note on tuition fees: The reference code in the payment description may differ for certain tuition fees. Please refer to your tuition fee notice for the correct payment description.

The semester fee is currently 215 EUR and breaks down as follows:

  • Administrative fee: 80 EUR
  • Student Services fee: 110.50 EUR
  • Contribution to the Student Government: 24.50 EUR

If you have not re-registered by the deadline during the re-registration period, you will receive a reminder via your university email address. A late fee of 16 EUR will be charged for late re-registration.

You will then have another opportunity, within the reminder period specified in the reminder, to pay the semester tuition fee, including the late fee.

If you have any problems or questions, please contact the Admissions Office.

If you are certain that you will complete all outstanding coursework by the end of the semester (summer: August 31 / winter: February 28), you do not need to re-register for the following semester.

If one or more exam requirements (e.g., submission of a thesis or colloquium) are not completed by the end of the semester, please re-register. In this case, you can apply for a refund via myCampus up to four weeks after the start of classes.

Yes, you must also re-register in these cases in order to maintain your valid student status.

Since you are transferring the amount to the Baden-Württemberg State Treasury, it usually takes 3–4 business days for the payment to be posted to our university’s account.

If you have not yet been re-registered in myCampus after approximately 7 days, this may be due to the following reasons:

  • The payment reference was not entered correctly (e.g., transposed digits, etc.)
  • You have a re-registration block in the system. Re-registration cannot take place until the block has been lifted or resolved.

In either case, please contact the Admissions Office.

If you are planning to change your degree program or continue your studies in a master’s program, we recommend that you re-enroll as usual during the re-enrollment period for the upcoming semester. This will ensure that you remain continuously enrolled and avoid a potential gap in insurance coverage.

If you decide against changing your program or pursuing a master’s degree, you can apply for a refund of the semester fee via myCampus up to four weeks after the start of classes.

Alternatively: If you are still unsure during the re-registration period, you can also wait to pay the semester fee until you enroll in your new degree program or master’s program. Please note that this may result in a break in your enrollment.

FAQ: Leave of Absence

General information on applying for a semester of leave can be found in the Statutes of RWU Ravensburg-Weingarten University regarding enrollment, re-enrollment, leave of absence, and de-registration. The current version is available on the Student Services website under the Admissions Office section.

You are also welcome to contact the Admissions Office.

Please submit the complete application for a leave of absence online via myCampus. The required supporting documents justifying the request must be uploaded along with the application.

Students may apply for a semester of leave if they have a valid reason.

Valid reasons include, among others:

  • family-related reasons (pregnancy, maternity leave, parental leave, caregiving leave)
  • long-term illness
  • a stay abroad (semester or internship)
  • voluntary internship that supports the student’s academic goals
  • FSJ, BFD, or similar programs

Financial or economic reasons are not accepted!

All reasons are listed in the Statutes of RWU Ravensburg-Weingarten University regarding enrollment, re-enrollment, leave of absence, and withdrawal. The current version can be found on the Student Services website under the Admissions Office section.

FAQ: Course of Study

In addition to the dates listed in the website calendar, you’ll find the key dates for each semester in the semester schedule.

Please note the latest updates from the Rector’s Office:

  • Re-enrollment for the 2027 summer semester
The re-enrollment period, originally scheduled for November 30, 2026, through January 8, 2027, will be delayed. Further information will follow shortly.
  • Graduation Ceremonies in the 2026/27 Winter Semester
The graduation ceremonies for Faculties E, M, S, and T will be postponed to the 2027 summer semester.

You will receive a class schedule for each semester before the start of classes via the LSF.

To view the schedule, click on “Courses” >> “Program Schedules” in the LSF. Select your degree program and enter a range from and to semesters (e.g., 1 to 1 for the first semester). You will then see a weekly view and can review the schedule for each week.

On the website of the International Office you’ll find information and contact details about studying abroad.

The internship semester is mandatory in every bachelor’s degree program and takes place during one of the academic semesters. It lasts a full semester, or 95 days of on-campus attendance. It is completed at an institution or company related to your professional field.

You can find all the necessary information on the Examinations Office on the General Study and Examination Regulations (SPO) under §5 Mandatory Practical Study Semester. Please also check whether your degree program’s examination regulations include additional requirements or guidelines for the practical study semester.

On the page for your degree program’s, you will also find your contact person at the Internship Office under “Contact and Staff.”

Please contact Student Services at the Admissions Office if you wish to postpone your internship semester. The Social Work program is an exception. In this case, you must submit an application for a modified course of study to the head of the examination committee.

If you are already enrolled at RWU and would like to change your major, simply apply through myCampus by the standard deadlines for the new program and include all application documents, including a transcript of records (uncertified copy). The Office of Admissions and Examinations will then handle the rest internally.

If you have any further questions regarding this, please contact the Admissions Office.

If a bachelor’s student is at the end of the 14th semester or a master’s student is at the end of the 10th or 12th semester, an application for an extension of the study period may be submitted.

There is no specific form for this. You must draft a letter yourself explaining your reasons. You should then submit the letter directly to the Examinations Office. The Central Examination Board (ZPA) will decide on your request.

FAQ: After Graduation

You can get a refund for your remaining balance at the cafeteria.

FAQ: Exams

By the end of the 4th or 5th semester (depending on your degree program), you must have completed all coursework except for a maximum of 10 credits from the first two semesters; otherwise, you will receive a letter stating that you have “lost your right to take exams.” You can appeal this decision; you will not be immediately withdrawn from the university.

You can register for an exam via myCampus. You can register for or drop required and elective courses there in the “Exam Registration and Withdrawal” section by selecting a course from the list. If an elective course cannot be found using the search function, you can register by email. To do so, contact the staff member responsible for your degree program.

You can find the exam registration period under Dates.

Yes, you must report all services for which you want to be billed.

No, as a non-degree student, you are not allowed to take any exams.

Yes, you can take exams during your internship semester.

No, you may not take exams during a semester of leave. Exceptions are made for semesters of leave due to maternity leave, parental leave, pregnancy, or caregiving responsibilities.

If you decide that you do not want to take an exam after all, you can withdraw from it during the exam registration and withdrawal period by myCampus . Since the summer semester of 2020, this is no longer mandatory; if you do not show up for your first attempt at an exam, there will be no consequences.

Important: You can no longer withdraw fromportfolio exams once you have submitted any part of the work!

If you are unable to take one of your scheduled exams, you may simply make it up in the following semester. You do not need to cancel your registration or re-register with the Office of Academic Examinations.

If the exam involves a written assignment, an oral exam, or a practical exam, please consult with the relevant instructor.

Please note that this rule does not apply to portfolio exams!

You must submit this form if you are absent from part of a portfolio exam due to illness. In such cases, the medical certificate of inability to take the exam, completed by a doctor, must be submitted within 14 days of the relevant exam date.

In all other cases, submitting a medical certificate is optional.

If this exam is a required exam, it must be retaken:

  • Starting in the summer semester of 2023, you must also register for retake exams (first retake) on your own. However, you can register for or drop these exams during the exam registration and drop period. Special rules apply to portfolio exams.
  • There is no longer a mandatory deadline for taking retake exams. However, you must ensure that by the end of the fourth semester, you have completed all parts of the intermediate exam, with the exception of no more than 10; otherwise, you will lose your right to take the exam (see § 7 of the Bachelor’s Study Program Guidelines).

No. Please note, however, that study plans agreed upon with the program director are mandatory.

To take the exam a second time, you must submit proof of consultation with the academic advising office for your respective degree program to the Registrar’s Office by the exam registration deadline.

The Examination Office will then register you for the second retake of the exam.

After the exam period, your exam grades will be posted in MyCampus (LSF) as soon as the examiner has entered them there.

If your question has not been answered here, you can find more information in the Rector's Office's Moodle course on Introduction to the RWU Examination System.

Log in to Moodle using your university account credentials and enroll in the course on your own to gain access to the additional information provided there.

FAQ Theses

You can register your thesis (bachelor's or master's) online via qmengine.rwu.de.

When you register, you will also receive a link to the form: “Notification of Completion of Thesis.”
This form must be submitted along with your thesis and should include the final title of your thesis. This title will then be included on your diploma. You can also find the form in the download section of our website.

The Public Relations Department provides various RWU logo designs for download.

PowerPoint templates are available after logging in to the QM Portal
(Documents -> Student Services -> Templates)

You must submit one printed copy per examiner to the Office of Academic Examinations. In addition, you must submit a data storage device containing the digital version of your thesis to the primary examiner. If the secondary examiner is an external examiner, submit the copy directly to the external examiner and submit only the copy for the university examiner to the Registrar’s Office.

The thesis can either be submitted in person during Student Services’ office hours at the Registrar’s Office or dropped into one of our mailboxes at the main building. If you are not on campus, you can also send us the theses by mail. Please scan the postal receipt and send it to your assigned staff member at the Examinations Office. The date of posting is considered the “submission date.”

Exception: Faculty T—the thesis can be submitted via Moodle.

In addition to the copies and the data storage device, please also include the completed forms “Completion of the Thesis” (please fill out only the upper part) and the “Application for Withdrawal from Enrollment” for the thesis.

Yes, according to the SPO, the bachelor's thesis can be extended once, generally by 4 weeks, and the master's thesis can be extended once, generally by 3 months. To do so, you must submit a request at qmengine.rwu.de . To do so, click on your already approved thesis. When you click the “Extension” field, the extension request form will open. Fill it out and explain the reasons beyond your control. The request to extend the thesis deadline is automatically forwarded to all relevant parties for their approval. In the event of a prolonged illness, a further extension—or, in justified individual cases, even a suspension—is possible.
